How Outreach Sequences work in Hubfluence

Set filters, pick a send window, and let the bot run your creator outreach across TikTok DMs and email on autopilot.

Outreach sequences are how you run creator outreach on autopilot inside Hubfluence. Instead of paying a VA to copy-paste the same message a thousand times, you set up the targeting and copy once, then the bot handles the sending in the background. This article walks through what an outreach sequence is, the channels it covers, the limits to be aware of, and how to set one up.

What an outreach sequence actually is

An outreach sequence is a saved outreach flow that sends your message to creators that match the filters you choose. Once it is live, the bot picks up where it left off, sends within your chosen time window, and keeps going until you pause it or run out of matching creators.

You do not need anyone clicking send. No VA, no Slack pings at 2am, no "did anyone reach out to those creators yet?" The bot does that.

The channels an outreach sequence can use

Outreach sequences run across two completely separate systems. The first is TikTok DMs sent natively inside TikTok, which covers Target Collab messages, Open Collab messages, and regular DMs (with images attached if you want to send a product shot or a brief). The second is email outreach sequences, which run entirely through Hubfluence and have nothing to do with TikTok.

The TikTok side and the email side are independent. You can run one without the other, or run both in parallel to the same creator list.

The limits you need to know about

On TikTok, TikTok itself caps how many outreach messages an account can send per day. That is a TikTok rule, not a Hubfluence rule, and there is no way around it. Our bot stays inside those caps so your account does not get throttled or flagged. If you have a big creator list, the outreach sequence will just spread the sends over multiple days until it works through everyone. Nothing breaks, it just takes a bit longer.

On email, volume is based on your Hubfluence plan tier. Higher tiers get a higher daily send allowance. Your plan limit is shown on your account, and you can upgrade if you need more headroom. This one is fully on us, since the email side runs through Hubfluence's infrastructure and not through any third party.

Setting one up

The flow is pretty simple. First, build your creator filters and pick the audience you want the message to land in front of. You can go as narrow as "US-based beauty creators, 50k to 250k followers, posting in the last 30 days" or keep it broad if you are still figuring out what converts. Filters are yours to define, so an outreach sequence can be as specific or as wide as you want.

Next, write the message (or messages). Drop in your copy. For TikTok you can attach an image. For email you can build out a multi-step outreach sequence with follow-ups.

Then set the send window. This is the part most people miss. You choose the time of day you want messages to actually go out, so creators see them when they are awake and most likely to reply, not at 4am their time. The bot only sends inside that window.

Finally, turn it on. Once it is live, the bot takes over. You can leave the tab, close your laptop, do whatever, the outreach sequence keeps running.

How often the bot updates

The bot is not instant. It checks in and processes new sends on a recurring cycle, roughly every few hours (around the four-hour mark). So if you switch an outreach sequence on, do not refresh five seconds later expecting to see ten messages out the door. Give it a cycle, then come back and check your stats.

This is on purpose. Slower, steadier sending looks more human, keeps you well inside TikTok's limits, and avoids the "burst then ban" pattern you see when people try to send thousands of DMs in minutes.

Pausing, editing, ending

You can pause an outreach sequence at any time. Edits to copy or filters take effect on the next cycle, not retroactively. If you want to stop an outreach sequence entirely, just turn it off and the bot stops queueing new sends.

Common questions

Do I need a VA on top of this? No. That is the whole point. Outreach sequences replace the manual sending step. You still need someone to handle replies (and we have separate tools for that), but the outbound side is fully automated.

Can I run multiple outreach sequences at once? Yes. A lot of users run several in parallel, one per product, niche, or angle.

Will the bot send the same creator the same message twice? This depends on your settings. You can avoid this by exclude creators already messaged shown here:

You can also create blacklists of creators as well shown here:

What if a creator replies? Replies show up in your Hubfluence message center so you (or your team) can pick them up and respond.
