The Auto-Responder Agent handles the repeat-question avalanche that every active creator program eventually generates — Spark code requests, payout timing questions, "is my sample shipped" pings, "do you accept smaller creators" inquiries — without your team touching the inbox. You build a knowledge base of frequently asked questions inside Hubfluence, write the response that should fire for each one in your actual brand voice, and the agent matches incoming messages against that library and replies on your behalf.
How the matching works: every incoming creator message in your Message Center gets scanned against your FAQ list. When the agent has high confidence the message is asking one of your saved questions, it auto-replies with your preset answer in real time. When confidence is low or the question doesn't match anything in your library, the message routes back to the Message Center for a human reply — so creators with non-standard questions still get a real answer, and your team only handles the conversations that actually need judgment.
The questions worth automating are the ones that come up over and over in any active program. "Do you offer free samples?" "What commission rate are you running?" "Do you work with smaller creators?" "What kind of content should I make?" "Do you offer retainer deals?" "How do I get approved?"
Every one of those questions is a 30-second answer your team types ten times a day. The agent types it instantly and your team gets that time back.
Control over when the agent replies is set inside the configuration. Set your timezone, choose active hours (most brands run their agent between 8am and 11pm in their primary market timezone so creators don't get mid-night auto-replies that feel off), and turn the agent on or off with a single toggle whenever you need to. You can also pause it temporarily during a launch window where you want every reply to come from a human.
Performance and oversight live in two places. Analytics shows you how many messages the agent has handled across whatever date range you select, broken out by which FAQ matched and how often. The Activity Log shows you every individual reply the agent sent, in full, so you can spot-check accuracy and refine FAQ entries that are misfiring. Most operators we onboard tune their FAQ library twice in the first month, then leave it running.
